Event and Office Coordinator BENELUX

 

 

 

 
We’re looking for an Event and Office Coordinator to ensure the smooth running of our Brussels and Netherlands offices. In this role, you’ll be the central point of contact for office operations, creating an efficient and welcoming environment for employees and visitors alike. You’ll manage day-to-day activities, coordinate meetings and events, support sustainability initiatives, and provide executive assistance to our Leadership team. Additionally, you’ll play an important role in Finance and HR-related processes.
 
 
Your responsabilities include:
 
  • Office Management: Organize operations and procedures, maintain a safe and productive workspace, manage supplies, and oversee vendor contracts.
  • External & Internal Event & Meeting Coordination: Schedule and organize meetings, appointments, and global/regional events; welcome visitors and support leadership agendas.
  • Executive Support: Provide calendar management and business meeting coordination for the VP and leadership team; arrange travel and team events.
  • Finance & Purchasing: Handle purchase orders, monitor office expenses, and coordinate invoices
  • Fleet Management: manage the supplier and the externalize fleet 
  • HR Collaboration: Support onboarding/offboarding, employee engagement activities, and maintain internal systems.

 

We are looking for:

 

  • A proactive team player with strong communication skills.
  • Ability to manage multiple priorities and work under pressure when needed.
  • 2+ years of experience in office management or a similar role.
  • Strong organizational and problem-solving skills.
  • Proficiency in Microsoft Office and office management tools.
  • Fluent in Dutch or French and English.
  • Flexible, resourceful, and eager to learn.
