As our Office Coordinator, you’ll be the key contact of our Brussels and the Netherlands office,
ensuring everything runs seamlessly—from managing office operations and supplies to
coordinating meetings, events, and sustainability initiatives. You’ll also provide executive support
to our Leadership team and play a key role in Finance and HR-related tasks.
Key responsibilities
Office organization and maintenance:
o Organize office operations and procedures
o Oversee daily office operations, ensuring a productive and welcoming
environment
o Organize and schedule meetings, appointments and events
o Welcome visitors
o Coordinate global/regional and inter-office event and meetings
o Coordinate the leadership agenda with external and internal partners and
business events
o Provide executive support to the VP, including calendar coordination and business
meetings
o Organize team events, catering, and travel arrangements (hotel bookings etc.)
o Manage meeting rooms, office supplies, and vendor contracts
o Analyze and monitor internal processes and ensure filing systems and archives are
maintained and up to date
o Contact person for maintenance, shipping, supplies, equipment, etc.
o Foster a dynamic company culture by planning and supporting various events and
gatherings
o Maintain a safe and secure working environment by developing and maintaining
an HSE strategy
o Be a key contact for sustainability initiatives
Purchasing (office supplies)
o Purchasing support – Purchase order creation for planned expenses
o Drafting of various mail, confirmation of end of lease
o Purchase supplies such as drinks, coffee, office supplies etc.
o Support finance functions, including invoice coordination and budget
management (office expense monitoring)
IT SPOC
o Coordinate with IT department on all office equipment (incl. server room, network
upgrades etc.)
o Coordinate with HR equipment for new employees
Car fleet
o Manage order and delivery for eligible employees
o Fleet management: car availability before ordering a new one, provide short-term
rental cars if needed, manage the return of old cars, keep relationship with lease
companies, cost control as per budget
o Ensure adherence to the company's car policy and manage any changes or
updates to the policy in collaboration with HR & Finance
o Handle any topics related to car damages or changes
Other:
o Coordinate with HR the onboarding and offboarding of new employees (provide
laptop/tablet/phone/car etc. to new employees)
o Collaborate with HR on employee engagement activities
o Bob page maintenance and update (incl. updates of local procedures)
What we look for

Ability to work under pressure with tight deadlines when required.
Flexibility, initiative and ability to learn on-the-job.
2+ years of hands-on experience in office management role
Strong organizational and time management skills, with the ability to prioritize and manage
multiple projects simultaneously.
Skills with Microsoft Office and other office management software.
Strong problem-solving and decision-making skills, with the ability to think critically and make
sound decisions.
Fluent Dutch or French and English language is required.
